1. About this policy
SolKind designs and installs solar, battery and smart energy systems for homes, farms and businesses. To do that, we need to collect some information about you.
This policy explains what we collect, why we collect it, who we share it with, and how you can access it, correct it or complain about how we have handled it.
SolKind is a small business. Most small businesses are not covered by the Privacy Act 1988 (Cth). We follow the Australian Privacy Principles anyway.
We do that because you are handing us your electricity bills, your meter data and details about your property and your business. That deserves careful handling regardless of what the law currently requires of a company our size.
This policy applies to solkind.com.au, our quoting and proposal process, our installation and service work, and our marketing.
2. What we collect
Information you give us directly:
- Name, phone number, email address and the address of the property
- Details about your property: roof type and orientation, switchboard, meter, shed and outbuilding layout, site access
- Your electricity bills, meter data and usage patterns
- What you are trying to achieve: budget, timing, future plans such as an EV, a battery or expanded operations
- Payment and billing details
- Photographs of your site taken during assessment or installation
- Correspondence with us, including emails, messages and notes from phone calls
Information we collect automatically:
- Website usage data: pages visited, time on page, referring website, approximate location derived from IP address, device and browser type
- Information collected through cookies and similar technologies
Information from others:
- Your electricity retailer or distributor, where you have authorised us to request meter data
- Finance providers, where you apply for finance through us
- Government rebate and incentive administrators
- Publicly available sources, for business customers
We do not seek sensitive information as defined in the Privacy Act. If you volunteer it, for example a health condition affecting site access or an essential medical device that needs backup power, we will only use it for the purpose you gave it to us.
3. Why we collect it
- To assess your site and prepare a quote or proposal
- To design a system that suits how you actually use power
- To supply, install, commission and service equipment
- To prepare and lodge rebate, incentive and certificate paperwork on your behalf
- To arrange grid connection applications with your distributor
- To process payments and meet our tax and record keeping obligations
- To handle warranty claims, faults and service requests
- To respond to your enquiries and provide after sales support
- To send you marketing, where you have consented or where you are an existing customer
- To improve our website and understand which of our marketing is working
- To meet our legal and regulatory obligations
If you choose not to give us the information we ask for, we may not be able to quote accurately, design a suitable system, or lodge rebate paperwork for you.
4. Marketing
We may send you emails or other electronic messages about our products, guides and offers where you have consented, or where you are an existing customer and would reasonably expect to hear from us about related products and services.
Every marketing message includes a way to unsubscribe. You can also email hello@solkind.com.au or call 08 7429 1111 and ask us to stop. We will action it within five business days.
We will not sell your personal information, and we will not share it for anyone else's marketing.
If you tell us to stop marketing to you, we will still contact you about work in progress, warranty matters, safety notices and product recalls.
5. Who we share it with
- Installers and electricians engaged to carry out work at your property
- Equipment suppliers and manufacturers, for warranty registration and claims
- Your electricity distributor and retailer, for connection approvals and meter changes
- Government bodies and scheme administrators, for rebates, incentives and certificate creation
- Finance providers, where you have applied for finance
- Our software and service providers, including website hosting, email, accounting, automation and analytics tools
- Our professional advisers, such as accountants and lawyers
- Anyone else you have authorised, or where we are required or permitted by law
6. Overseas disclosure
Some of our service providers store or process data outside Australia. This may include the United States and the European Union.
Before disclosing your personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles. We cannot guarantee that overseas recipients are subject to privacy laws equivalent to Australia's.
7. How we protect it
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. This includes access controls, multi-factor authentication on business accounts, encrypted connections to our website, and limiting staff access to what each person needs to do their job.
No system is completely secure. If we become aware of a data breach that is likely to result in serious harm, we will assess it promptly, tell you what happened and what information was involved, and tell you what we are doing about it. We follow the process set out in the Notifiable Data Breaches scheme, including notifying the Office of the Australian Information Commissioner where the scheme would require it.
8. Cookies and analytics
Our website uses cookies and similar technologies to make the site work, remember your preferences, and understand how the site is used.
We use analytics tools to see which pages are visited and how people move through the site. These tools may set cookies and collect information about your visit, including a device identifier and IP address. Some of that information is held overseas.
You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do.
9. How long we keep it
We keep personal information for as long as we need it for the purposes set out above, and for as long as the law requires. Tax and financial records have minimum retention periods set by the ATO. Installation, electrical and compliance records are kept for the life of the equipment warranty, so we can support a claim years after the work is done.
When we no longer need information, we destroy it or de-identify it.
10. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong.
Email hello@solkind.com.au or call 08 7429 1111. We will respond within 30 days. We do not charge for access requests, though we may charge a reasonable fee for retrieving large volumes of archived material. If we refuse a request, we will tell you why in writing.
11. Complaints
If you think we have mishandled your personal information, tell us first. Email hello@solkind.com.au with the details. We will acknowledge your complaint within five business days and give you a response within 30 days.
If you are not satisfied with our response, you can raise it with the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992. Because we are a small business that is not currently covered by the Privacy Act, the Commissioner may not be able to investigate a complaint about us. The Commissioner can still give you information about your privacy rights, and we will co-operate with any enquiry they make.
12. Changes
We may update this policy. The current version is always on this page, with the date it was last updated at the top. If we make a significant change to how we handle your information, we will tell you.
